The Blue Ribbon Section


This section contains several input fields that are used to specify the characteristics of the document being created. It includes two selection inputs that define the type of document to be created and a currency toggle button.


Elements of the Blue Ribbon Section:


Document Type Selector


This input field provides a list of the nine different document types that can be created using the document interface. The document types available for selection include: quotation, invoice, receipt, goods received note, purchase order, credit note, stock transfer order, and stock transfer form.


Party Type Selector

Every document must specify an intended external party. Before selecting the specific party, the party type must first be selected. This selector provides a dropdown list with the following options: patient, corporate, supplier, and storerooms. Please note that not all combinations of document types and party types are possible. For instance, if you select ‘Purchase Order’ as the document type, the only available party type is ‘Supplier’, as purchase orders are documents intended for communication between the system user and an external supplier. All other party types are disabled in the party type selector in this case. The specific party object for the document (e.g., the specific supplier to receive a purchase order) is selected in the Document Variables section.
Currency Toggling Button 
This button is visible only when the selected document type is either an invoice or a quotation. Upon initially opening the document page, the document currency is set to the default currency. Clicking the currency toggling button changes the document’s currency to the next enabled currency. After this change, document prices (i.e., sales prices, unit costs, etc.) are updated based on the specific exchange rates set in the system. Continually clicking the currency toggling button cycles through the enabled currencies, eventually returning to the default currency.

 

Document Attributes Section


Located directly beneath the Blue Ribbon section, the Document Attributes section is hidden by default and only becomes visible when a party type has been selected.

Document Number Input


Every document is assigned a unique identifier, which can be any combination of letters and numbers. The identifier can either be system-generated or manually entered by a user. For more details on the settings that determine the mode of selecting the identifier, please refer to the relevant section in the manual.

System-generated documents typically have different prefixes within the document number based on their type. Here are the prefixes for each document type:
GRN- : Goods Received Note
CN- : Credit Note
STO- : Stock Transfer Order
STF- : Stock Transfer Form
STR- : Stock Transfer Receipt
PO- : Purchase Order
ADJ- : Stock Adjustment
Q- : Quotation
R- : Receipt
INV- : Invoice


Specific Party Object Selector


This selector, like other elements in the Document Attributes section, is only visible if a party type has been selected in the Blue Ribbon section. It’s a hybrid input field. For more information on how a hybrid input works, please refer to the relevant section in the manual. The label for the Specific Party Object Selector depends on the party type selected in the Blue Ribbon section. As this is a required input, each document must have a specific party object selected.
Caption Input 
This optional input, when filled, prints its value as a paragraph just above the table. It’s used to highlight or describe any notable information regarding the document or transaction. For instance, for an invoice, the customer’s tax number or VAT number may be entered as the caption.
Footer Input 
Similar to the caption, the footer is an optional input. The text entered in the footer appears in the document just below the table. Many users utilize the footer input to specify additional information about the document. For example, within a Goods Received Note, the footer input can be used to describe any breakages or other notable occurrences during the delivery.

Table Section 
The table section, which includes the table and various buttons located near it, is used to select and list the items and services that the document pertains to.
Elements of the Table Section:
Table Rows 
Each row in the table represents a unique inventory item or service. No item or service can be selected more than once within a document. Each table row is divided into several columns, each with an input field. Most column inputs are regular text inputs, while the code and description columns have hybrid inputs. For more information on how hybrid inputs work, please refer to the relevant section in the manual.
Typing in the code or description hybrid inputs filters the available options (items and services) within the dropdown. Sometimes, it may be desirable to exclude certain items or services from the options available for selection in documents. This is achieved by using categories.
There is a setting that specifies the categories of inventory items available for selection within a document, and a separate setting for service categories. If either setting is left blank, all database inventory items or services can be selected when composing the table section rows.
Add Row Button 
Located just below the table, this button adds a blank row at the bottom of the table when clicked.
Delete Row Button 
Also located just below the table. To delete one or more table rows, first check the checkboxes to the far left of the rows you wish to delete, then click the delete rows button.
Table Total Display 
Located just below the table, this display is visible for most document types, excluding purchase orders, stock transfer orders, and stock transfer forms. When the document currency is toggled using the currency toggle button in the Blue Ribbon section, the total display is also updated to display the total in the updated document currency.

 

 

 

 


Toolbar Section 
The toolbar section of the document page includes the following buttons:
Print Toolbar Button 
This button, which is grey by default, becomes active (turns green) once one or more objects have been added to the table. If the button is green and one or more required fields are blank, clicking it will focus on one of the blank required fields. If all required fields are filled and the button is clicked, the document is saved and printed. The printed document automatically opens just after it is saved, and a PDF copy is stored in the appropriate folder in Windows Explorer. For information on the location of the correct folder in Windows Explorer, please refer to the relevant section in the manual.
New Item Toolbar Button or New Service Toolbar Button 
While creating a document and selecting inventory items or services to add to the table, a user may realize that an item or service they wish to add to the document is not currently created in the database. To add a new inventory item on the fly, click the New Item Toolbar Button. To add a new service on the fly, click the New Service Toolbar Button.
Refresh Toolbar Button 
To clear all inputs on the page and reset the table, click the Refresh Toolbar Button.
